Compensation: $16-$18 an hour

Schedule: Starting September 2022, 24 - 30+ hours available; M-Th afternoons to 6:30PM and Friday: day shift

The Customer Care Specialist’s primary function is to provide outstanding customer service to assure each client gets the best care possible. The Specialist will be responsible for all aspects of customer service as it pertains to the front office.

  • Manage the daily operations of the front office by supporting both customers and team members.
    • Greet all clients and check them in for their appointment(s).
    • Answer incoming calls and direct communications as necessary.
    • Communicate any necessary information with clients and staff, ensuring clear and consistent communication. This includes, but not limited to, the managing of a Therapists schedule for the day, messages for Therapists related to their client and continued care, etc.
    • Collect payment for services and programs as requested.
    • Assist with managing the daily operations of the Schedule.
      • Cancel, Reschedule and Schedule appointments, as requested.
      • Assist Therapists with their schedules during unexpected and planned absences.
    • Assist with administrative tasks related to donations.
  • Support Therapy Team & Clinic with administrative tasks.
    • Perform copying, faxing, scanning, filing, laminating, and mailing duties as assigned.
    • Manage and ensure the updating of client administrative documents due on an annual basis.
    • Assist with office projects.
  • Ability to function professionally, effectively, and efficiently in a fast-paced work environment.
  • Ability to prioritize tasks as appropriate and adapt to changes professionally and effectively.
  • Provide attention to detail for a positive, customer service focus.
  • Intermediate computer and software skills and proficiency, preferred.
  • Excellent communication skills—written, verbal and general interactive.
  • Organizational skills—priority setting, file maintenance, reporting and multi-task, time management, employee relations.
  • High school diploma or equivalent.
  • Minimum 1 year of customer facing experience, preferably in a medical office setting, preferred.
  • A combination of education and experience that provides equivalent knowledge, skills and abilities may be considered.
