Events & Program Coordinator
SUMMARY OF POSITION:
This is a people-facing, community- impact role ideal for individuals who enjoy connecting with others, organizing memorable events, and contributing to the vitality of Hudson. The focus of this position is to help develop and coordinate all the signature Chamber events and programs with the goal of generating non-dues revenue and providing members with networking and educational opportunities. This position works to ensure that members and the public are assisted in a professional, friendly manner and that their requests are met to the best of our ability. This position has direct contact with members and the public by telephone calls, email, meetings, events, and walk-ins. We are a small, collaborative team that values creativity, initiative, a good sense of humor and pride in supporting Hudson businesses.
REPORTING RELATIONSHIP:
The Events & Program Coordinator shall report and be responsible to the President.
RESPONSIBILITES:
- Answer incoming calls and direct to appropriate staff. Assist with walk-ins to the office and help promote the Hudson area.
- Collaborate with the President on a events and programs to support member businesses and engage the local community.
- Assist with developing, planning, and coordinating events including but not limited to:
- Spirit of the St. Croix Art Festival
- Hilltop Pumpkin Party
- Christmas Tour of Homes
- Have a Hudson Holiday
- Hudson Community Expo
- Golf Outing
- Coordination of programs and oversight of the various stages of event development including event timelines, event details, execution of the event and post event details
- Coordinate with staff on event press releases, promotional materials, digital and print
Job Description
Events & Program Coordinator
- Assist with registration at member events and ensure that all necessary handouts are at events
- Write articles as needed for monthly newsletter and Chamber Insider
- Ensure post event communications/thank you to event sponsors, partners, volunteers, and participants as needed
- Update state of Wisconsin website with events
- Assist with the recruitment of members and sponsorships
- Complete all tasks as designated by the President

PROFESSIONAL DEVELOPMENT/EXPECTATIONS:
Position requires daily contact, both in person and by telephone with Chamber members, visitors, and the public.
REQUIRED SKILLS:
- Organizational and communication skills, ability to manage time and volunteers, ability to collaborate with members, committees and staff, computer skills and administrative experience.
- Effective communication skills, good written skills, and attention to detail.
- Enthusiasm and desire to help reach the organization’s goals by participating with staff as a team member
- Experience working or volunteering in events, customer service, or a community organization preferred.
- Proficient in Microsoft Office (Word, PowerPoint, Excel), Customer Relationship Management Platforms, and preferred email marketing and/or design platforms.
- Strong understanding of what a Chamber of Commerce is, which this person will learn, and the ability to work with a wide variety of people.
- College degree or equivalent in business administration or another business-related field.
OTHER REQUIREMENTS:
- This is an exempt, full-time position. It does require time outside of an 8:30 am – 4:30 pm, Monday through Friday schedule.
- Requires some travel locally.
- Ability to operate basic office equipment and standard business software.
- Requires sufficient physical capacity to serve indoor and outdoor event activities including ability to lift up to thirty-five pounds.
