Grants & Scholarships Assistant
The St. Croix Valley Foundation’s (SCVF) mission is to strengthen the St. Croix Valley by connecting generosity with community needs and opportunities for lasting impact. With offices in Hudson, Wisconsin, the foundation serves six counties bordering the St. Croix River, two in Minnesota (Chisago and Washington) and four in Wisconsin (Burnett, Pierce, Polk and St. Croix) and supports a network of community affiliates. This position supports the administration of competitive grant programs and scholarship opportunities at the St. Croix Valley Foundation. This entry-level role is integral to maintaining accurate data, supporting application and review processes, and ensuring a smooth and responsive experience for applicants, reviewers, and staff. The Assistant works closely with the Grants & Scholarships Manager and the Community Impact team to implement efficient, high-quality grantmaking and scholarship operations.
PRIMARY RESPONSIBILITIES
Grants & Scholarships (90%):
Work with the Grants and Scholarships Manager and the Community Impact Team to administer SCVF’s grants and scholarships programs.

The Assistant works closely with the Grants & Scholarships Manager and the Community Impact team to implement efficient, high-quality grantmaking and scholarship operations.
PRIMARY RESPONSIBILITIES
Grants & Scholarships (90%):
Work with the Grants and Scholarships Manager and the Community Impact Team to administer SCVF’s grants and scholarships programs.
- Enter, update, and maintain accurate grant and scholarship records in the Foundation’s database
- Support the processing of applications, awards, payments, and declinations
- Monitor application progress and track deadlines to ensure timely movement through review cycle
- Assist in preparing application materials, forms, and online systems
- Coordinate logistics for grant and scholarship review panels, including scheduling and materials preparation
- Respond to routine inquiries from nonprofit applicants, students, and partners
- Generate routine reports and assist with data reconciliation and quality control
- Support document management and recordkeeping for grant and scholarship files
- Support clear and timely communication related to application cycles and award notifications
- Generate letters for, compile and mail all competitive grant checks (regional and affiliate grant programs)
Administration (10%)
- Ensure consistency and adherence to internal procedures and best practices in grants management systems
- Assist with preparation of internal reports, curriculum, presentations, and materials
- Participate in staff meetings and provide general administrative support as needed
- Seek opportunities for learning and professional development
REQUIRED QUALIFICATIONS, KNOWLEDGE & SKILLS
- Associate’s or Bachelor’s degree or equivalent experience preferred
- Strong attention to detail and commitment to data accuracy
- Proficiency in Microsoft Office; comfort working in databases and online systems
- Strong organizational and time management skills
- Ability to manage multiple tasks and deadlines
- Clear and professional written and verbal communication skills
- Ability to work both independently and collaboratively
- Commitment to confidentiality and professionalism
- Interest in nonprofit or community foundation work preferred
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- May be required to travel in personal vehicle to meetings and events.
SCHEDULE
- Hybrid work environment with regularly scheduled in-office hours and the flexibility to work remotely up to 50% of the time, consistent with organizational policy and business needs.
- Availability for occasional late afternoon and evening meetings, typically between 4:00–7:00 p.m.
- Ability to respond to occasional urgent or time-sensitive matters outside of regular business hours.
SALARY & BENEFITS
The starting salary for this exempt position is $42,000 - $46,000, DOQ. Benefits for full-time employees include medical and dental insurance, life insurance, short and long-term disability insurance, paid time off, a 403b plan and company match, flexible schedules and hybrid work options. While full-time is preferred; a 0.80 FTE
option may be available based on candidate fit and organizational needs.
